QuickBooks Tips | Going Mobile

With the increased usage of smartphones and tablets, many clients ask if they can use QuickBooks on their mobile devices such as a smartphone and tablet. The answer is yes; however, it does depend on which version of QuickBooks the client is using.

QuickBooks Online Users

QuickBooks software allows users to access their financial data through mobile devices such as the iPhone, iPad and Android. If the client is subscribed to the QuickBooks online software, the software can be accessed through any supported browser, such as Safari. However, included with the online subscription is a free QuickBooks online mobile app, which can be downloaded onto devices.

The app allows you to:

  • View customer information
  • Add photos and notes
  • Accept electronic signatures to approve estimates on the spot.
  • And create, send, and mark invoices as paid.

Not a QuickBooks Online User?

You can download the app for QuickBooks for Windows but you will have to pay a subscription fee for the service.

The app will allow you to synchronize your data between your mobile device and your QuickBooks company file through the Intuit Sync Manager through a highly secure connection.  Any updates made you make in QuickBooks will sync with your QuickBooks mobile app and vice versa. Therefore, any customer, estimate, invoice, and sales receipt data that you add or update will be available on both your desktop and mobile. You must be using the QuickBooks Pro, Premier, or Enterprise 2011 or higher version to be able to use the mobile functions.

There are a few limitations to QuickBooks mobile, such as you cannot download a full version of QuickBooks onto your device; the only way to access a full version is to subscribe to QuickBooks online and access it through your browser. The apps are only focused on sales and customer information; you cannot access accounts payables or other modules of the program. QuickBooks also offers the ability to accept credit cards using the mobile app through Intuit’s merchant services.

With technology rapidly changing, Intuit has offered users a way to improve business relations without having to be in the office through QuickBooks mobile. You may have thought that the app would not be beneficial to your business, but it may be worth taking a second look.
